Privacy Policy

Effective October 17, 2026

eTrov is a place to save what you find and turn it into playbooks you run and share with the people you choose. This policy explains, in plain language, what we collect, why, who helps us run the service, and the choices you have.

1. What we collect

From your Google account, when you sign in. Your name, email address, profile photo and Google’s account identifier. We ask Google only for the basic openid, email and profile permissions. We never see your Google password and we can’t read your Gmail, Drive, Calendar or contacts.

What you save in eTrov. Clippings (links, notes, screenshots and photos you upload), playbooks, runs and their checklists, reminders, and the circles you create or join.

About other people, if you add them. eTrov lets you keep notes about people, such as names, birthdays, contact details and gift history, and add people without an account (for example, children) to a circle. Please only add what you’re comfortable sharing with your circle, and what those people would reasonably expect.

Technical data. A sign-in session cookie, your browser’s time zone (to show times correctly), and standard server logs (such as IP address, browser type and request times) kept by our hosting provider for security and troubleshooting.

We do not use advertising, ad cookies or third-party analytics trackers.

2. How we use it

  • To sign you in and keep you signed in.
  • To store, show and organise what you save, and share it with the circles you choose.
  • To work out dates, reminders and what’s due today, in your circle’s time zone.
  • To show link previews: when you save a link, our server fetches that page’s title and preview image.
  • To keep the service secure, prevent abuse and fix problems.
  • To contact you about your account or important changes.

We do not sell your personal information, and we don’t use your content to target ads.

3. AI drafting (only when you ask)

Some features can draft a playbook for you, from a screenshot or photo you clipped, or from a short description you type. This happens only when you click a button that asks for it (such as “Draft with AI”), or when no template matches a request you submit. Only then is that image or text sent to our AI provider (OpenAI) to produce a draft, which you review before anything is saved.

We don’t send your other content to the AI provider, and we don’t use your content to train AI models.

4. Who can see your information

You and your circles. Everything starts private in “Just me”. Content you put in, or move into, a circle is visible to that circle’s members. Circle owners can invite and remove members.

Service providers who run parts of eTrov for us, under contracts that limit their use of your data:

  • Google: sign-in.
  • Vercel: hosting, and file storage for uploaded images.
  • Neon: our database.
  • OpenAI: AI drafting, only as described above.

When the law requires it, or to protect the rights, safety and security of our users and the service.

5. Google user data

eTrov’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use your Google name, email, photo and account identifier only to create your account and sign you in.

6. How we protect it

  • Encrypted connections (HTTPS) everywhere.
  • Sign-in sessions are stored only as one-way hashes; invite links too.
  • Uploaded photos are re-encoded and their location (GPS) and camera data removed. Files are stored privately and served only to members of the circle that owns them.
  • Each circle can see only its own content.

7. Cookies and local storage

We use one essential cookie to keep you signed in (it lasts up to 30 days, or until you sign out) and a short-lived cookie during Google sign-in. Your browser also remembers small display preferences, such as whether the sidebar is collapsed. There are no advertising or tracking cookies.

8. Keeping and deleting your data

We keep your content until you delete it. Deleting a clipping deletes its uploaded files; deleting a circle deletes everything in it.

To delete your whole account and personal data, email agilects.us@gmail.com. We’ll confirm and complete it within 30 days. Copies in our providers’ backups are removed on their normal schedule.

9. Your choices and rights

You can view, edit, move and delete your content in the app at any time. You can also ask us to access, correct, export or delete your personal data, or to stop processing it, by emailing agilects.us@gmail.com. Depending on where you live (for example, under GDPR or CCPA), you may have further rights, including complaining to your local data protection authority.

You can remove eTrov’s access to your Google account at any time from your Google Account permissions.

10. Children

eTrov accounts are for people 13 and older (or the minimum age in your country). Adults may list children by name in a circle, for example to give them steps in a routine. Children don’t sign in, and we don’t knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact agilects.us@gmail.com and we’ll delete it.

11. Where data is stored

eTrov is hosted in the United States. If you use it from elsewhere, your information is transferred to and processed in the United States.

12. Changes to this policy

If we change this policy, we’ll update the date at the top. For important changes, we’ll tell you in the app or by email before they take effect. See also our Terms of Service.
